USA Hockey Arena Seeks Front Office Administrator

Job Title:       Front Office Administrator

Reports To:   Arena Manager

General Description:
The Front Office Administrator will serve the organization by meeting USA Hockey Arena front office objectives. The position will assist all aspects of the office needs. In addition, the role will support service sales to current and potential customers. This role will provide administrative support to other arena staff.

Schedule: Monday through Friday, 9:00 a.m. to 2:30 p.m.

Duties and Responsibilities:

  • Answer phones and direct calls in a professional manner.
  • Maintain ice schedule and compile day to day ice sales.
  • Maintain, organize and implement registration for learn to skate, learn to play, and rec hockey.
  • Oversee rostering for USA Hockey teams that skate out of USA Hockey Arena.
  • Complete and execute Arena ice contracts.
  • Operate point of sales register.
  • Assist accounting office with daily deposits and other tasks
  • Produce and deliver monthly ice invoices.
  • Greet visitors and supervise customer service window.
  • Maintain main office for cleanliness and organization.
  • Perform basic filing and clerical duties to organize and store paperwork and documents.
  • Take and relay messages.
  • Order and maintain office supplies.
  • Handle incoming and outgoing mail and shipping
  • Administrative support for all Arena programs and events.
  • All other duties and responsibilities as assigned by supervisor.

Knowledge, Skills and Abilities:

  • Excellent written and oral communication skills.
  • Detail oriented and works with a high degree of accuracy.
  • Highly organized.
  • Ability to multitask and meet changing deadlines.
  • Must be self-directed and able to complete projects with limited supervision.
  • Proficient with Microsoft software tools including, Word, Excel, and Outlook.
  • A positive, friendly and team-oriented customer service focus is required.
  • The ability to work in a demanding environment while maintaining both professionalism and enthusiasm for customers is essential.
  • Hockey knowledge preferred.
  • High School diploma required.
